NRI Circle ("we", "us", "our") is operated by [Company legal name not set — Admin → Settings → General], a company registered at 2103/47 E, Rukmini Nagar, Back side of Sayaji Hotel, Kolhapur, Maharashtra 416005 ("the Company"). NRI Circle is a concierge platform that connects Indians living abroad ("Customers") with verified local vendors ("Vendors") and a dedicated Relationship Manager ("RM") for parent care, property and farm management, government documentation, legal, financial, medical-coordination, and related services delivered in India. This policy explains, in detail, what personal information we collect from Customers, the family members they register, and Vendors; how we use, store and share it; and the choices and rights you have. It applies to our website, customer and vendor web/mobile experiences, and any related communications (email, SMS, WhatsApp, and calls with your RM).

1. Information We Collect

1.1 Account & profile information. When you register, we collect your name, email address, phone number and WhatsApp number, password (stored hashed, never in plain text), and, optionally, a profile photo. As an NRI customer, we also collect your country/state/city of residence, preferred language, timezone, referral code (if you were referred, or if you refer others), and the pincode/city/state in India you are booking services for. Where you have an assigned Relationship Manager, your profile is linked to theirs so they can support you.

1.2 Family members you register for care. For parent-care, medical-assistance and similar services, you may add details of the family member(s) being cared for: name, relationship to you, phone number, address, date of birth, an emergency contact, and free-text health/wellness notes (e.g. medication reminders, care instructions) that you or your RM record to help vendors deliver the service safely. This is sensitive personal information — we treat it with additional care, use it strictly to coordinate the service you've requested, and do not use it for advertising or profiling.

1.3 Documents & identity information. Certain services (government documentation, legal services, property registration, and others) require you to upload supporting documents — for example, proof of relationship, property papers, or identity documents such as PAN, Aadhaar, passport or OCI card copies, depending on what that specific service requires. You upload these directly, or share them with your RM who uploads them on your behalf; each document is tagged with its type, an optional expiry date, and whether it has been shared with your RM. Documents are stored as files on our servers (or, where configured, on a cloud storage provider) with access restricted to the systems and staff who need them to process your request.

1.4 Vendor & service-partner information. Vendors who join our network to deliver services go through a verification process and provide: contact name, phone, email and address; bank account name, account number and IFSC code (or a UPI ID) for payouts; and KYC/tax identifiers — PAN number, GST number, and Aadhaar number — together with supporting documents that our team reviews and approves or rejects. This data is used solely to verify, pay and manage vendors, and is never shown to customers beyond what's needed to identify the assigned vendor for a booking (e.g. name and rating).

1.5 Payment information. Membership and per-service payments are processed by our payment partners — Stripe, PayPal, and (for eligible transactions) Razorpay. We do not store your full card number, CVV, or bank login credentials on our own servers; we retain only transaction metadata (amount, currency, date, status, and a reference/token supplied by the payment processor) needed for your billing history, receipts and refunds. Vendor payout bank/UPI details (see 1.4) are stored by us because we are the party disbursing payouts, and are protected the same way as other sensitive data described in Section 6.

1.6 Communications. We keep records of communications related to your account and service requests — in-app support messages, and call/WhatsApp/email logs and notes your Relationship Manager records when following up on a request (including any attachment shared during that conversation). One-time verification codes (OTPs) sent by email, SMS or WhatsApp are used only to confirm you control the contact method you provided.

1.7 Service execution, photos & location data. When a vendor completes a visit or task, they submit a report — text notes and photos — as proof of work, which is shared with you as confirmation the job was done. Where our field staff check in/out of a visit, we may record the GPS coordinates and timestamp of that check-in/check-out to confirm attendance at the correct location. We do not continuously track your location or a vendor's location outside of these specific, job-linked check-ins.

1.8 Usage & device data. Like most platforms, we automatically collect log data — IP address, browser/app type and version, device identifiers, pages viewed and timestamps — to keep the platform secure, diagnose issues, and understand feature usage in aggregate. We do not use third-party advertising trackers or sell this data (see Section 9, Cookies).

4. Payment Processing

Membership fees and per-service charges are handled by Stripe, PayPal, and Razorpay, depending on your location and the payment method you choose. These processors maintain their own privacy and security standards (including PCI-DSS compliance for card data) and we encourage you to review their respective privacy policies. We retain only transaction metadata (amount, date, status, reference ID) needed for your billing history, receipts and refund processing — we never see or store your full card number or bank login credentials.

Documents, photos and other files you or your Relationship Manager upload are stored on our application servers (or a cloud storage provider where configured) with access restricted to the systems and personnel who need them to process your request. We use industry-standard technical and organizational measures — including encryption in transit, hashed passwords, access controls, and a document review workflow for vendor KYC — to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; see Section 11 for what happens if that protection is ever breached.

6. Data Retention

We retain personal information for as long as your account is active and for a reasonable period afterward to satisfy legal, accounting, tax, and dispute-resolution requirements. Documents and identity information tied to a completed service are retained only as long as needed for that purpose and any applicable regulatory record-keeping period, after which they are deleted or anonymized. Family-member health notes are retained only while the associated family member profile remains active on your account, or as long as needed to resolve an open or disputed service request involving them. Vendor KYC and payout records are retained for the periods required by applicable tax and financial regulations.

We use essential, first-party cookies/session storage to keep you signed in and to remember basic preferences (such as your selected language or last-used location). We do not use third-party advertising cookies, tracking pixels, or cross-site analytics trackers. If this changes, we will update this section and, where required, ask for your consent.

9. International Data Transfers

Because our customers live abroad and our services are delivered in India, your information may be transferred to, stored, and processed in India and in the countries where our infrastructure and payment partners (Stripe, PayPal, Razorpay) operate. Where required by applicable law, we take steps intended to ensure such transfers are protected consistent with this policy — for example, relying on our processors' own compliance certifications and contractual safeguards.

10. Children's Privacy

Our platform is intended for use by adults booking services on behalf of family members (including minors or elderly parents, whose limited details may appear in a family-member profile per Section 1.2 — provided and controlled by the adult Customer, not the family member themselves). We do not knowingly allow a child to create their own account or provide their own account information directly to us.

If we become aware of a security incident that compromises your personal information in a way that creates a real risk of harm to you, we will notify you and, where legally required, the relevant regulatory authority, without undue delay and in line with applicable law.
